Custom-built management system
CISU - Civil Society in Development - is Denmark's largest membership organisation for civil society organisations with global engagement. The member organisations collaborate with local partners in developing countries around the world. Together they create concrete initiatives to help local populations help themselves.
The Danish Ministry of Foreign Affairs regularly allocates funds to support development projects financially. This is where CISU comes in, as the funds are managed by CISU, which ensures that the funds are distributed in accordance with applicable laws and declarations of intent.
From manual to digital collaboration
When grant pools need to be managed in the best possible way, there is a huge amount of administrative work involved. Roughly outlined, it's about, among other things:
Application rounds
CISU manages application rounds where civil society organisations can apply for funding for development projects.
Grants and rejections
It is also CISU that assesses applications and justifies grants and rejections.
Ongoing disbursement of the funds
Pools are often not paid out all at once but as milestones are reached in individual projects. CISU handles the payments.
Ongoing monitoring and reporting
In order to ensure optimal use of the allocated funds - and, for example, spot signs of corruption or other irregularities - member organisations must regularly report various information.
Reporting at the end of the project
When a project is completed, the organisations involved must report once again.
From many systems to one
CISU used to handle all these many complex tasks and processes in several different systems. Financial systems, emails, Excel spreadsheets and other documents and systems were used interchangeably, and the many pool managers had different ways of working. In addition, it was up to each pool manager to handle data - including personal data - correctly.
Over time, the need to streamline processes and ease administrative work increased. With this in mind, Illumi - in close collaboration with CISU - developed the administration solution Our CISU.
With Our CISU, CISU has digitised the entire collaboration with their member organisations and gathered it in one place. Applications are made digitally, as are grants, rejections, milestone management, reporting, monitoring and other case management. Naturally, our CISU is closely connected to CISU's ERP system, so CISU employees do not have to enter the same data in several different systems.
The dialogue with the Illumi team has helped us to rethink 'care' and remove unnecessary steps in our daily work processes.

Self-service and security
Member organisations enter the data CISU needs from them themselves and the solution helps them to do it correctly. If something is missing or if the information requires human intervention, the pool managers are notified so they can react. For example, the system stops all activity if irregularities are detected. Only when the irregularity is resolved can activities resume.
All correspondence is saved and changes are logged. So there is never any doubt about who has done what. This increases the security of pool management - and increases data security.
A lifecycle system for pool management
Today, pool managers can focus their work on value-adding tasks instead of drowning in administration. And they are less likely to make mistakes, because Our CISU has established procedures for the entire case handling process.
With Our CISU, we have a system that helps us a lot in our everyday work. After a short familiarisation phase, we have become faster at performing redundant tasks, simply because the system helps us do things smarter than before.

In other words, CISU now has a digital case management tool to handle the entire lifecycle of pool management. And member organisations now have a single point of entry to apply and be considered for the funds.
